Marketing for Travel and Tourism Brands.

How tour operators, youth travel companies and resorts in India turn Reels and WhatsApp enquiries into paid bookings, measured in cost per booking.

Travel and tourism covers tour operators selling fixed departures, group and youth travel companies filling weekend trips out of Delhi, Mumbai and Bengaluru, adventure and experiential brands running treks and road trips, and destination resorts chasing occupancy beyond the peak calendar. The generic playbook misfires because it treats a trip like a product. Nobody books a ₹28,000 Spiti departure off one ad. They save a Reel, show it to friends, ask a dozen questions on WhatsApp, check reviews, compare two operators and decide on a Sunday night. Marketing that only optimises for clicks or form fills never sees most of that journey.

Travel is bought twice: once on the feed, once in the chat

A travel booking is decided in two places. Inspiration happens on Instagram and YouTube, where the trip has to look worth taking. The booking happens in a conversation on WhatsApp or Instagram DMs, where the operator has to look worth trusting.

Most travel brands are strong at one and weak at the other, and the gap is where budgets leak. A brand can generate thousands of enquiries a month and still struggle, because chats sit unanswered for six hours and get a copy pasted PDF. The job is to connect inspiration, conversation and payment as one system, and measure it as one.

What actually drives demand in this category

Four forces shape travel demand in India more than any targeting setting: the calendar, the content, the speed of response and the buyer’s sense of safety.

The calendar, especially long weekends

Indian travel demand moves in spikes. Long weekends around Independence Day, Diwali, Christmas, New Year and Holi compress weeks of booking intent into days. School holidays drive family travel in May and June, the monsoon pulls short trips to the Western Ghats, and Himalayan circuits like Ladakh and Spiti have a narrow season. A brand that starts promoting a long weekend ten days out is competing for leftovers. Budgets should follow the planning window, usually six to ten weeks before a peak, not a flat monthly split.

Instagram and Reels as the brochure

For most travellers under 35, the operator’s Instagram grid is the brochure, the reference check and the price list in one. Reels showing the actual group, stays and trip leader convert better than polished destination footage anyone could download.

Speed to lead

Travel enquiries decay fast. A traveller asking three operators about the same trek usually books with whoever answers clearly first. A Harvard Business Review study, “The Short Life of Online Sales Leads”, found that firms contacting a lead within an hour were nearly seven times as likely to qualify it as firms that waited longer. On a long weekend, an hour is often too slow.

Trust and safety

Group and adventure travel carries real anxiety, especially for parents of young travellers and women travelling solo. Questions about trip leaders, stays, transport, medical support and refunds are not objections; they are the purchase decision. Brands that answer them visibly convert better than brands that wait to be asked.

What we actually do for travel and tourism brands

Above The Fold builds the path from inspiration to paid booking in this order, because each step depends on the one before.

1. Map the departure calendar and the margin per trip

We start with the trip list, dates, seats per departure and margin on each. A ₹9,000 weekend trip and a ₹65,000 international departure cannot share a cost per lead target. That sets a ceiling on cost per booking.

2. Build content that sells the trip and the operator

Our social media team plans Reels around real trip footage, trip leader introductions, itineraries and the questions sales hears every week. Where shoots are hard to schedule, AI production covers supporting creative, never as a substitute for the real experience.

3. Choose the right enquiry route for each trip

Lead forms, WhatsApp and DMs suit different trips. We set the route by price point and complexity, not habit.

4. Run paid media in waves, then retarget

Performance campaigns open early around each peak, prospect broadly, then retarget people who watched trip videos, opened the itinerary page or started a chat. Lookalikes built from past paying travellers, not all leads, keep prospecting pointed at people who book. Google Search covers high intent terms such as specific trek names and “group trip from Pune”.

5. Fix the handover to sales

We set up reply templates, auto replies that collect dates and group size, lead tagging by campaign and a daily view of open chats. Our WhatsApp marketing guide covers the mechanics.

Where travel marketing usually goes wrong

Most failures come from measuring the wrong step or arriving late to the season.

  • Optimising for cost per lead. Cheap form leads often book at a fraction of the rate of WhatsApp chats that cost twice as much.
  • Starting peak campaigns too late. By the week before a long weekend, most decided travellers have paid someone.
  • Stock destination footage. It sells the place, not the operator, so it builds demand for whoever is cheapest.
  • Slow or scripted replies. A PDF and silence loses to a two line answer and a voice note.
  • Total dependence on OTAs. MakeMyTrip, Booking.com and Agoda bring volume, but every booking costs commission and the guest belongs to the platform. Our hospitality page covers building a direct channel.
  • Hiding safety and refund details. If a parent cannot find the answer, the booking waits.

How we measure it

The number that matters is cost per confirmed booking, read against the margin on that trip. Everything else is a diagnostic.

We track reach and saves on content, cost per enquiry by route, first response time, enquiry to quote, quote to advance payment, and cost per booking by trip and campaign. If a weekend trip earns ₹2,500 margin per traveller, bookings at ₹1,800 each are working even when cost per lead looks high. For resorts we add direct bookings as a share of OTA bookings. We report weekly in peak windows and monthly otherwise.

How early should a travel company start promoting a long weekend trip?

Start six to ten weeks before the long weekend for fixed departures, and earlier for Himalayan or international trips that need leave approvals and flights. Content builds interest first, then paid campaigns and retargeting run in the final three weeks. Campaigns launched in the last ten days usually pay more per booking because most decided travellers have already confirmed.

Are WhatsApp ads better than lead forms for tour operators?

Neither wins everywhere. Click to WhatsApp ads suit weekend trips and fixed departures with clear prices, because travellers want quick answers. Lead forms with qualifying questions suit higher priced or customised trips that need a planned callback. Test both against cost per booking, and factor in how fast your sales team can actually reply.

What is a good cost per booking for a travel brand in India?

A good cost per booking leaves healthy margin on that specific trip, so there is no single benchmark. Calculate margin per traveller, decide what share you can spend on acquisition, and work back to a maximum cost per lead using your lead to booking rate. A weekend trip and an international departure need different targets.

How can resorts reduce dependence on OTAs like MakeMyTrip and Booking.com?

Build a direct channel alongside OTAs rather than leaving them. That means a fast website with a clear booking route, an honest Instagram presence, an optimised Google Business Profile and retargeting of past guests and site visitors. Moving even a small share of bookings to direct improves margin and gives the resort its own guest data.

Does Instagram content actually drive travel bookings?

Yes, when it shows the real trip and the real operator. For younger travellers, Instagram is the brochure and the trust check before they enquire. Reels with group footage, trip leader introductions and itineraries earn saves and shares, which feed retargeting audiences that convert later. Generic destination footage builds interest in the place, not the brand.
